How to Use the Vault

Learn how to store, organize, and manage all your media content in ChatBlue — including syncing from FansMetric, uploading manually, and organizing with folders and tags.

The Vault is where you store, organize, and manage all your media content in ChatBlue. You can start setting up your Vault right away even while your ChatBlue account is still being reviewed.

There are two ways to add media to your Vault:

  • Vault Sync - Automatically import media from a connected FansMetric account

  • Manual Upload - Upload photos, videos, and audio files directly

Setting Up Vault Sync

If you already have media on a linked FansMetric account, Vault Sync is the fastest way to get started.

  1. Go to Vault in the left navigation menu

  2. Under Vault Sync, click the "Choose a connection to sync..." dropdown

  3. Select the FansMetric connection you want to sync from

  4. Auto-approve media (Recommended) - This is enabled by default. When turned on, all synced media is immediately available for use. Turn it off if you prefer to manually review content first.

  5. Click "Start Vault Sync"

The sync will run in the background. You can track its progress on the same page:

  • Pending - Sync is queued

  • Syncing - Media is being imported (shows count of items synced)

  • Completed - All media has been imported

  • Failed - Something went wrong (check the error message and retry)

Tip: After the initial sync, you can click "Refresh" at any time to pull in any new media added since the last sync.

Uploading Media Manually

If you don't want to sync from a FansMetric account, you can upload media directly.

  1. In the Vault, click the "Upload Media" button at the bottom of the sidebar

  2. Drag and drop files into the upload area, or click to browse and select files

  3. You can upload up to 40 files at a time

Supported File Types and Limits

  • Photos (JPG, PNG, GIF, etc.) - Up to 100MB per file

  • Videos (MP4, MOV, WebM, etc.) - Up to 5GB per file

  • Audio (MP3, WAV, AAC, etc.) - Up to 100MB per file

Adding Details During Upload

Before uploading, you can add metadata to each file:

  • Media Tags - Categorize your content with color-coded tags

  • Media Notes - Add a description or context for the media

  • Suggested Price (optional) - Set a recommended price in USD

  • Release Form Tags - Tag media that features multiple people (for release form tracking)​

Click "Save" to confirm and start the upload. You'll see a progress bar for each file.

Organizing Media with Folders

Keep your Vault organized by creating folders.

Create a Folder

  1. In the Media Folders sidebar, click "Create Folder"

  2. Enter a folder name

  3. Click the checkmark to confirm

Add Media to a Folder

  1. Select one or more media items (click the checkbox on each)

  2. Use the actions bar to click "Add to Folder"

  3. Choose the destination folder

Media can be in multiple folders at the same time. To remove media from a folder, select the items while viewing that folder and choose "Remove from Folder".

Manage Folders

  • Rename - Click the dropdown menu on a folder and select Rename

  • Delete - Click the dropdown menu and select Delete (you'll need to type the folder name to confirm)

  • Search - Click the search icon in the sidebar to find folders by name

Filtering and Searching Media

Filter by Type

Use the filter buttons at the top of the media grid:

  • All - Show everything

  • Photo - Images only

  • Video - Videos only

  • Audio - Audio files only

Filter by Tag

  1. Click "Filter by Tag" in the top-right corner

  2. Select one or more tags to filter by

  3. Click "Apply Filter" to see matching media

  4. Click "Reset" to clear the filter

Search Notes

Click the search icon in the header and type a keyword to search through media notes and descriptions.


Media Statuses

Media in the Vault may have different statuses based on moderation and review:

  • Approved - Ready to use, no restrictions

  • Pending Review - Waiting for initial review

  • Under Content Moderation - Being checked by the moderation system

  • Quarantined - Flagged for moderation review (cannot be used until resolved)

  • Needs Release Forms - Multiple people detected in the media; release forms are required

  • Rejected - Not approved for use

  • Content Removed - No longer available

Media that is quarantined, rejected, or removed cannot be sent to fans.

Safe Work Mode

If you need to use ChatBlue in a shared or public space, click the lock icon in the Vault header to enable Safe Work Mode. This blurs all media thumbnails and previews for privacy. Click the unlock icon to turn it off.
